Privacy Policy
SOPIQ, LLC ("SOPIQ," "we," "us") provides Asteroniq, a business platform delivered as a service at asteroniq.sopiq.com and at the hostnames of the customers who use it (the "Service"), and this website. This policy describes what we collect, how we use it, who sees it and the choices you have. It applies to visitors of this site and to the businesses that use the Service and the people they put in it.
1. Two roles
For this website and for the account you open, SOPIQ decides how data is used and is responsible for it. For the records a customer puts into the Service (their contacts, tickets, employees, invoices, the data read from systems they connect), the customer decides and SOPIQ processes on the customer's instructions under the Terms of Service. If you are a person whose record is held by one of our customers, that customer is the one to ask about it; we will help them answer.
2. What we collect
On this website
When you use the form, the name, company, work email, phone, the modules you are interested in and anything you write. Standard log information (IP address, browser, referrer, pages viewed) for security and diagnostics. The site uses a first-party tag that credits a campaign you arrived from; it does not use advertising trackers, and the only cookies are those the site needs to work.
In the Service, about the people who sign in
Your name, work email and the roles you are given, your sign-ins and refusals, and what you do in the Service (the access log and the record history), because the customers who use the Service need that trail.
In the Service, on the customer's instructions
What the customer types or imports: contacts, companies, deals, campaigns, tickets and their messages, time, projects, employee records, agreements and invoices. What the Service reads from systems the customer connects, as that system's administrator allows at connection: Microsoft 365 and Google Workspace directories, settings, mail and calendar items, device and compliance state; Exchange Online configuration; Azure, AWS and Google Cloud configuration; QuickBooks Online customers, items, invoices and balances; Pax8, Ingram Micro and Datto licence and device counts and alerts; Autotask tickets, notes and time; SkySwitch call and text records; the settings of the customer's own machines reported by the collector the customer installs; and the hosts a sweeping machine finds on the customer's own network.
QuickBooks Online
When a customer connects QuickBooks Online, the Service reads customers, items, invoices and their balances, and writes the invoices, credit memos, customers and items the customer issues from the Service. The sign-in tokens are stored encrypted and used for nothing else. Disconnecting revokes the token and ends all access; the invoices already in QuickBooks stay there.
What we do not collect
Government identifiers, payment card numbers, Controlled Unclassified Information (an attachment marked CUI is deleted on arrival and the sender told), and passwords for the Service, which has none.
3. How we use information
To provide and run the Service and respond to you; to send the mail the Service sends on the customer's behalf (campaigns, notices, invoices, codes); to bill the customer; to keep the Service secure and investigate misuse; to improve it from aggregate, non-identifying patterns; to meet legal obligations. AI features run on the customer's own records inside the platform to draft, summarise, triage and plan; those records are not used to train models.
4. Who sees it
We do not sell information and we do not use it for advertising. It is shared only with: the service providers that run the platform under contract and confidentiality, namely Cloudflare (hosting, storage, edge security and the AI runtime, in the United States), Resend (email delivery and receipt) and Intuit, Microsoft, Google, Amazon Web Services and the other systems a customer chooses to connect, each under its own terms; the customer's own administrators and the people the customer gives access to, including an auditor the customer invites; a managed service provider that runs the customer on its account, where the customer is that provider's client; and legal or regulatory authorities where the law requires.
5. Where it lives and how it is protected
In the United States. Encrypted in transit and at rest; stored credentials and tokens sealed a second time with a key held apart from the database; single sign-on for the dashboard and one-time codes for portals; access logging of every sign-in and privileged action; edge protection against denial of service and bots; nightly database copies. 6. How long we keep it
While an account is open, its data is kept until the customer deletes it; nothing is removed on a clock. When a customer closes the account, the data is exported on request and deleted thirty days after closure, except what the law requires us to keep (invoices and tax records, for the statutory period). Nightly database copies are kept for ninety days and then dropped. Website form submissions are kept for as long as the inquiry and any resulting relationship need. Disconnecting a connected system stops all reading at once and revokes the token; data already read stays in the customer's account until the customer deletes it.
7. Your choices and rights
You can ask us what we hold about you, correct it, export it or have it deleted, and you can object to a use or withdraw a consent, by writing to Privacy@sopiq.com. If the data is held by one of our customers, we will pass the request to them and help them answer. We answer within thirty days. Residents of states with privacy laws (California, Virginia, Colorado, Connecticut, Utah and others) have the rights those laws give and may use the same address; we do not sell or share personal information for cross-context advertising and we do not discriminate for exercising a right.
8. Children
The Service and this site are for businesses and their staff. They are not directed at anyone under eighteen and we do not knowingly collect information from them.
9. Changes
When this policy changes, the date at the top changes and customers with accounts are told inside the Service. Continued use after a change is acceptance of it.
